This Privacy Policy explains how Know Thy Pool (“Know Thy Pool,” “we,” “us,” or “our”) collects, uses, discloses, and protects information through the Know Thy Pool website, mobile application, Pool Passport pages, and related services (collectively, the “Services”).

1. Information we collect

Information you provide

  • Account and contact information, such as your name, email address, login credentials, and support communications.
  • Pool information, including pool specifications, identifiers, equipment details, installation dates, warranties, maintenance history, water-test readings, repairs, inspections, and related notes or documents.
  • Contribution information submitted by owners, household members, pool professionals, builders, inspectors, or other authorized participants.
  • Safety reports, including the selected concern and any optional note. A person may submit a safety report without providing a name, email address, or account.
  • Beta, waitlist, and marketing preferences that you choose to provide.

Information collected automatically

When you use the Services, we may receive device and browser information, IP address, operating system, app version, referring pages, timestamps, scan and interaction events, crash information, and security signals. We use this information to operate, secure, diagnose, and improve the Services.

Information from other participants

Authorized owners, professionals, builders, and inspectors may submit records connected with a pool. A record may identify the contributor and their organization so owners can understand who performed or reported work.

2. How we use information

  • Provide, maintain, personalize, and secure the Services.
  • Create and maintain a lasting Pool Passport and history for a physical pool.
  • Authenticate users, manage permissions, and review professional contributions.
  • Display owner-approved information and support ownership or service transitions.
  • Send service messages, requested beta or product updates, and support responses.
  • Detect misuse, investigate safety or security concerns, and enforce our Terms.
  • Analyze performance and improve features, reliability, accessibility, and safety.
  • Comply with law and protect the rights, safety, and property of users, the public, and Know Thy Pool.

3. Public and private pool information

A Pool Passport is designed to make limited pool information available to someone physically present at the pool or holding its identifier. The public passport may show approved pool specifications, equipment categories, condition, service activity, recent test dates, builder information, and other owner-approved facts. It is not designed to display the property address, owner name, private contact information, access credentials, or service schedule.

More detailed history—including complete records, documents, contributor information, and owner controls—may be restricted to authorized users. Owners control whether a fuller history or report is shared, subject to legal, safety, fraud-prevention, and record-integrity requirements.

4. How we disclose information

We may disclose information to:

  • Owners and other users whom an owner authorizes for the relevant pool.
  • Pool professionals, builders, inspectors, or buyers when access is requested or approved.
  • Technology vendors that host, secure, analyze, communicate, or otherwise help operate the Services, subject to appropriate contractual restrictions.
  • Government authorities or other parties when reasonably necessary to comply with law, protect safety, prevent fraud, or defend legal rights.
  • A successor in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to applicable law.

We do not currently sell personal information for money or share it for cross-context behavioral advertising. This statement must be reassessed before launch and whenever advertising, analytics, or vendor practices change.

5. Ownership transfers and record integrity

Pool history is intended to remain connected to the physical pool. When ownership changes, the new owner may receive control of the pool record after an appropriate verification process, and the prior owner’s access may end. We may preserve factual service, equipment, inspection, and maintenance records when reasonably necessary to maintain record integrity, prevent fraud, resolve disputes, or comply with law, while removing or restricting personal account information as appropriate.

6. Data retention

We retain personal information only as long as reasonably necessary for the purposes described in this policy, including providing the Services, maintaining legitimate pool-history records, meeting legal obligations, resolving disputes, and protecting security. Retention periods vary by record type. When information is no longer needed, we take reasonable steps to delete or de-identify it. Counsel should approve a detailed retention schedule before launch.

7. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No storage or transmission method is completely secure, and we cannot guarantee absolute security. Keep your credentials confidential and contact us promptly if you suspect unauthorized access.

8. Your choices and privacy rights

You may request access to, correction of, or deletion of personal information associated with you, or ask questions about how it is used. You may also unsubscribe from optional product updates. Certain information may be retained where permitted or required by law, or where needed to preserve legitimate pool records and protect other users.

Residents of some jurisdictions may have additional rights, including rights to know, access, correct, delete, restrict certain uses, opt out of certain disclosures, receive a portable copy, or appeal a decision. We will not discriminate against you for exercising an applicable privacy right. Submit requests to support@knowthypool.com. We may need to verify your identity and authority before completing a request.

9. Children’s privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action. The final age policy and any parental-consent process must be confirmed by counsel before launch.

10. Third-party services and links

The Services may link to or rely on third-party products. Their privacy practices are governed by their own policies. The final policy should identify material service-provider categories and any legally required vendor disclosures.

11. Changes to this policy

We may update this policy as the Services or legal requirements change. We will post the revised version with a new effective date and provide additional notice when required.
